Assistant Director Scheduling - Radiology

Reporting to the Director of Admissions and under the guidance of the AVP of Revenue Cycle, the Assistant Director, Central Scheduling is responsible for the implementation and adherence of processes and procedures in the Scheduling Department including but not limited to the build and maintenance of computerized solutions.  Establishes relationships with referring providers ensuring provider satisfaction and ensures that staff is maintaining highest degree of customer service, ensuring both provider and patient satisfaction. 

Duties/Responsibilities:

  • Extensive knowledge in the areas of outpatient scheduling, registration, health insurance practices and industry standards for healthcare revenue resolution management practices.

  • Experience with Meditech and SCI Solutions, including Schedule Maximizer, Order Facilitator, Provider Portal and GOSchedule strongly preferred.

  • Knowledge of CPT codes and ICD-10 codes as well as all government and other payer billing and collections rules and regulations.

  • Leadership skills to motivate cross-departmental team performance towards excellence and develop team concepts and consensus-building management styles.

  • Responsible for planning, organizing, staffing, directing, controlling and continually improving all aspects of scheduling, pre-registration, pre-authorizations, insurance verification and all areas managed by the department in its current and future states.

  • Oversee the day-to-day operations of scheduling, pre-registration, pre-authorization, insurance verification and all areas managed by the department.

  • Work to increase departmental efficiency and improve provider and patient satisfaction, as well as employee satisfaction.

  • Identifies process improvement opportunities and actively participates in improvement plans. Promotes the team concept with co-workers/staff by addressing issues in a constructive/proactive manner.

  • Ensure completion of all necessary tasks within department in order to avoid denials.

  • Develop, implement and manage data integrity audits and staff training to ensure complete and compliant patient information capture.

  • Filter all issues and/or complaints until positive outcome is accomplished.

  • Identify external benchmarks/best practice to maximize organizational performance improvement.

  • Motivates staff for maximized productivity and maintains high morale.

  • Collaborates and completes staff performance appraisals/evaluations with the Supervisor of Scheduling.  Follows up with any disciplinary action when needed.

  • Maintains staff job descriptions.

  • Prepares payroll and/or all staff scheduling responsibilities.

  • Acts as a resource to staff on off hours and/or weekends if necessary.

  • Works as a team member, including coverage of services and helping others as needed to contribute to the overall success of the department.  Ability to adjust personal work schedule to meet the needs of the department.

  • Follows St. John’s Riverside Hospital attendance policy

  • System manager representing hospital in the maintenance of SCI Solutions Scheduling system:

  • Serves as liaison between all involved departments and entities, and between SCI and hospital on behalf of hospital.

  • Maintains all required external IDs (mnemonics or codes) to ensure successful mapping of all codes between SCI platforms and all connected applications.  Includes mapping for HIS code tables and EMR procedures.

  • Maintains all user access to applications, adding new users and deactivating users as needed.

  • Tests new features as available.

  • Manages training of staff ensuring all are working to the top of their ability.

  • Responsible for ongoing physician office enrollment, training, support and retention, requiring some travel to the offices for in-person training and support.

  • Serves as “Metrix Mart” expert to view and filter dashboards and reports for specific points of data for measuring success and training needs.

Requirements:

  • Bachelor’s Degree in business or health care related field or minimum of seven years’ experience in a large health care organization in relevant management level positions required.  Master’s Degree in Business Administration or Healthcare Administration preferred.

  • Bilingual Spanish required

  • Financial management skills, including the ability to financially analyze data for operations, budgeting, auditing, forecasting; basic accounting knowledge, staffing and financial reporting skills.

  • Ability to analyze trends, develop and maintain performance goals and regularly provide this information to senior management as well as to patient access staff.

  • Ability to foster spirit of cooperation and teamwork while working to improve culture by recognized positive behaviors and offering discrete and courteous feedback on behaviors that fall short of standards.

  • Ability to listen and assess the needs of various internal and external customers and to prioritize their needs.

  • Ability to communicate effectively with all areas of contact and resolve problems.

  • Ability to sit at computer or telephone for several consecutive hours.

Job Type:

  • Full-time (9:00am - 5:00pm, Mon - Fri, some weekends and holidays)

Salary:

  • $75,000-$81,000
